QuickBooks Online alternatives: what to switch to, by reason for leaving
You have
QuickBooks Online
Accounting by Intuit. Built for small businesses, from a free single-user plan up to 25 users on Advanced.
Common reasons to look elsewhere
- User caps by plan: 1 user on Simple Start, 5 on Plus, 25 on Advanced (Intuit plan page).
- Each subscription is one company file, so groups with several entities run separate files.
- Service businesses that mostly invoice for time can pay for accounting depth they do not use.
Consider
- XeroClosest like-for-like switch
- Zoho BooksLowest-cost full ledger
- FreshBooksService businesses billing time
- WaveFree bookkeeping for one-person businesses
- Sage IntacctStep up: several entities and a faster close
- NetSuiteStep up: accounting plus inventory, CRM and ecommerce
Short answer. For most small businesses the like-for-like move is Xero (no per-user fees) or Zoho Books (free plan, cheaper tiers). Service businesses that bill time should look at FreshBooks. If you are leaving because you now run several entities or need a faster close, the step up is Sage Intacct or NetSuite, not another small-business ledger.
The replacements, with the trade-off
Closest like-for-like switch
Xero
Why switch to it
Xero covers the same small-business ledger jobs (bank feeds, invoicing, bills, projects, expense claims) and its plans carry no per-user licence fees, which removes the most common QuickBooks Online pain for growing teams. It also courts QuickBooks users directly with a leaving-QuickBooks section.
What you give up
The entry plan caps invoices and bills each month, and US payroll is not built in the same way; check that your bank feeds and apps exist in the Xero App Store.
Lowest-cost full ledger
Zoho Books
Why switch to it
Zoho Books has a free plan for micro businesses and paid tiers that add inventory, projects and automation. If you already use Zoho CRM, Inventory or Expense, the data stays in one family of apps, and Zoho advertises free migration from QuickBooks.
What you give up
Fewer US accountants work in it day to day than in QuickBooks or Xero, and the deepest value depends on adopting other Zoho apps.
Service businesses billing time
FreshBooks
Why switch to it
FreshBooks is built around invoicing: tracked time and expenses go straight onto invoices, and projects and proposals sit next to double-entry accounting. It suits agencies, consultants and trades that live in invoices.
What you give up
It is not designed for inventory-heavy product businesses, and the Lite plan limits how many clients you can bill.
Free bookkeeping for one-person businesses
Wave
Why switch to it
Wave’s Starter plan costs nothing and includes unlimited invoices, estimates and bills. Pro adds automatic bank imports, receipt capture and multiple user roles. For a solopreneur who only needs basic books, it removes the subscription entirely.
What you give up
Bank imports and receipt capture need Pro, card payments carry processing fees, and it is not built for growing teams with approvals and inventory.
Step up: several entities and a faster close
Sage Intacct
Why switch to it
Sage Intacct handles multiple entities with consolidation, eliminations and a dimensional general ledger, which replaces the pattern of running one QuickBooks file per entity. Sage publishes a case of a company importing history from over 100 QuickBooks files with a partner.
What you give up
It is sold through implementation partners and is priced by quote; it is a finance-team system, not a do-it-yourself switch.
Step up: accounting plus inventory, CRM and ecommerce
NetSuite
Why switch to it
NetSuite is a full cloud ERP. The OneWorld edition runs multiple subsidiaries and currencies in one system, so it fits companies whose problem is not just the ledger but inventory, order management and entities together.
What you give up
Implementation is a project with a partner or Oracle, and the scope and cost are well beyond a small-business accounting subscription.
Side by side
| Alternative | Category | Company size | Main difference | Pricing model | Checked |

Company size is the range each vendor's own pages target, not a hard limit. Pricing models are for orientation only; check the vendor's pricing page for current prices.
Choose by why you are leaving
| If your reason is… | Look first at | Why |
|---|---|---|
| Paying for more users | Xero | No per-user licence fees on its plans |
| Cost of the subscription | Zoho Books, Wave | Free plans exist for very small businesses |
| Invoicing and time billing | FreshBooks | Invoices built from tracked time and expenses |
| Several entities or a slow close | Sage Intacct | Multi-entity consolidation, dimensional ledger |
| Inventory, orders and entities together | NetSuite | Full ERP with a multi-subsidiary edition |
Before you switch
- Decide what history you need. Many teams bring over opening balances and open invoices and bills, and keep the old QuickBooks file read-only for older detail. Ask the new vendor exactly which records its migration covers.
- Check your apps. Payroll, payments, ecommerce and expense tools connected to QuickBooks need an equivalent connection in the new system.
- Switch at a period end, ideally a quarter or year end, so reports do not straddle two systems.
- Bring your accountant in early. Their familiarity with the new system matters as much as the feature list.
Exact prices change often; check each vendor’s pricing page before deciding.
